Complete Timeline of Used Car Exports: How Long It Takes from Booking Space, Customs Declaration, Shipping to Cargo Pickup

Many overseas purchasers are concerned about one question: after the vehicle is confirmed, how much time in total should be reserved from booking shipping space, customs declaration, and loading on board to cargo pickup at the port of destination?

The domestic procedures (booking + customs declaration + loading) normally take 7–14 working days; the sea voyage duration depends on the destination; when combined with customs clearance and cargo pickup at the port of destination, the overall lead time varies greatly, which is significantly affected by shipping schedules, inspections, and the policies of the destination country.

Note: Many steps can be carried out in parallel; there is no need to wait for the previous step to be fully completed before starting the next one.

  1. Booking & Truck Delivery to Terminal (3–7 working days)

Confirm the order and ensure all documents are complete, then lock in the shipping schedule with the freight forwarder.

• Obtain the space confirmation note after booking the shipping space: 1–3 days;

• Vehicle trailer delivery to the port supervised yard, fumigation, photography, and loading supervision preparation: 2–4 days;

Note: RoRo shipping schedules are fixed. When positioning is tight, you may need to wait for the next vessel, which will extend the waiting time.

  1. Export customs declaration (2–5 working days)

With complete documents (including export licenses, test reports, contracts, invoices, etc.), declaration through the Single Window:

• No inspection: released within 2–3 days;

• If selected for customs inspection: an additional 2–5 days will be required;

Used cars fall under the category of goods subject to special supervision, with a higher inspection probability than ordinary cargo.

  1. Loading and Departure (1–3 days)

After customs clearance, arrange container loading or roll-on/roll-off loading onto the vessel; issue the bill of lading (B/L) once loading is completed. The official shipment only commences after the vessel departs the port.

  1. Voyage time at sea (voyage, maximum floating)

• Southeast Asia: 7–15 days

• Middle East: 18–28 days

• Europe: 25–35 days

• Africa: 30–50 days

• Latin America: 40–60 days

  1. Customs clearance and cargo pickup at the port of destination (5–15 working days)

The arrival of the ship at the port does not mean that the vehicle can be picked up immediately:

• Submit import documents in advance before the vessel arrives at the port;

• Customs procedures at the port of destination, including examination, duty payment and inspection;

• After the customs clearance is completed, arrange a trailer to pick up the vehicle.

Many buyers tend to underestimate this part. Due to slow policies and frequent inspections in some countries, the waiting time may even exceed 20 days.

II. Common Risk Points That May Prolong the Timeline

  1. Incomplete documentation: The lack of export licenses, third-party inspection reports, and certificates of origin will directly hold up customs declaration;

  2. Customs inspection: whether it is domestic export inspection or destination port inspection, the time required is uncontrollable;

  3. Shipping delay: port congestion, cargo rollover, and delayed vessel departure; ro-ro ships have infrequent schedules, and waiting for positioning is a frequent cause of delays;

  4. Destination country access policies: Some countries require separate vehicle certification and VIN verification, which significantly prolongs the customs clearance cycle;

  5. Public holidays: including China's Spring Festival and local public holidays overseas, during which the customs on both sides and shipping companies suspend operations.

III. Procurement Recommendations for Overseas Buyers

  1. When making a procurement plan, do not only focus on the days required for sea freight; buffer time should be reserved for both domestic procedures and customs clearance at the port of destination.

  2. Before placing an order, confirm the import requirements of the destination country in advance and prepare the required local certificates beforehand to avoid customs clearance delays after the goods arrive at the port;

  3. The contract clearly stipulates that the shipping schedule is an estimated time, and customs inspection and port congestion constitute force majeure and shall not be deemed as a breach of contract by the seller;

  4. After leaving the port, promptly obtain the bill of lading and send it to the customs clearance agent at the destination port in advance to shorten the waiting time upon arrival.

Frequently Asked Questions

Q1: How fast can all the processes be at maximum?

A1: If the vehicle is already at the port yard, all documents are fully prepared, there is sufficient positioning, and the cargo is not subject to inspection, the process from booking to departure within China can be shortened to 3–5 working days. However, this is a rare ideal scenario and cannot be taken as a regular expectation.

Q2: Which is faster, ro-ro ship transportation or container transportation?

A2: The voyage lengths are roughly similar; ro-ro ships offer faster loading and unloading, but have fewer sailings and extremely tight positioning during peak seasons; container shipping provides more sailing options, but involves more procedures including container stuffing, lashing and fumigation.

Q3: Can the vehicle be picked up on the same day after the ship arrives at the port?

A3: Next to impossible. The vast majority of countries require tax payment and document verification, which generally takes at least 5 days as a starting point, so it is recommended to reserve 10 days or more.
